ITCINITY

ITCINITY · AI consulting for mid-sized companies

AI automation for SMEs. AI that works alongside you.

We set up AI for mid-sized companies. It reads enquiries, delivery notes and invoices, checks them against your ERP and prepares quotes or postings. Your staff approve anything that is sent or posted.

Free initial consultation · Pilot often in four to six weeks · On site or by video

What ITCINITY does

We automate recurring office processes with AI and connect them to the systems you already run. Usually that means ERP, CRM, document management and the mailbox.

We work for industry, mechanical engineering, technical trade, technical service and skilled trades with roughly 30 to 500 employees. We support a project from the first analysis through to ongoing operation.

Typical tasks

Our services

Each service can be commissioned on its own. In most projects two or three of them work together.

AI process automation and AI agents

AI reads emails, PDFs and forms, checks them against your ERP or CRM and puts forward a draft. Steps with consequences, such as dispatch, an order or a posting, are approved by a person.

AI adoption in your team

Many companies have licences for Copilot or an AI chat that hardly anyone uses. We find use cases for every role, train people on real tasks, write an AI policy with you and measure whether the tools are being used.

Local AI with the AI Cube

The language models run on a server on your premises. Documents, inputs and answers stay in your network. Intended for engineering data, HR records and other confidential content.

Data and processes as the foundation

AI needs digital processes and clean data. Where approvals still run on paper or every department calculates its figures differently, that is where we start.

AI automation for SMEs: workplace with documents, notes and laptop

What this looks like in inside sales

A case that is common in mechanical engineering: every day, enquiries arrive by email, often with drawings or parts lists attached. Inside sales reads each one, looks up items and prices in the ERP and writes the quote by hand.

With automation, the system reads the enquiry, recognises items and quantities, retrieves prices and delivery times from the ERP and creates a draft quote. It flags missing information. Inside sales checks the draft, completes it and sends it.

We measure how many minutes an enquiry takes before and after, including rework.

AI agents for office and service

An AI agent handles a defined task on its own. It reads an enquiry, fetches data from your ERP or CRM and puts a draft forward for approval. Unlike a fixed process, it decides for itself which tool it needs next.

We use agents where cases differ widely from one another. We train your teams to work with agents and to build their own AI assistants.

How an agent works with us

Dispatch, ordering and posting stay with people. If you wish, the language models run in the AI Cube on your premises.

Getting started: the AI Potential Check

Before you invest in a solution, we review up to three processes in your company. You find out which data and interfaces are available, what automation would deliver and whether a pilot is worthwhile. You receive the result in writing.

How a project works with us

Each step ends with a result, and you decide whether to continue.

1

Initial consultation

About 30 minutes, free of charge. You describe a process, and we assess whether AI will help there.

2

AI Potential Check

We review up to three processes, including data, interfaces and expected benefit. You receive the result in writing.

3

Pilot

A clearly defined process is implemented and tested on real cases. This often takes four to six weeks. Afterwards you decide whether it goes into regular operation.

4

Rollout

Connection to production systems, permissions, error handling, documentation and training for everyone involved.

5

Operation

We monitor the solution, install updates and adapt it. We agree the scope in advance.

Local AI, EU cloud or both

Local AI on the AI Cube

Where a language model runs depends on the data it processes. For engineering data or HR records we usually recommend your own hardware. Only then does no input leave your network.

For less sensitive tasks, a provider with a data centre in the EU can be cheaper. Many solutions combine both. We decide on the option for each process individually and document which data goes where.

We follow the GDPR, ISO 27001 and the EU AI Act.

Personal contact

Analysis, workshops and training usually take place at your premises. Check-ins in between run by video.

Frequently asked questions

We automate recurring office processes with AI and connect them to your systems, usually ERP, CRM, document management and the mailbox. We support this from the first analysis through to ongoing operation.

For industry, mechanical engineering, technical trade, technical service and skilled trades with roughly 30 to 500 employees.

For most processes in mid-sized companies, a fixed process in which AI takes over individual steps is enough. We explain when an agent makes sense on the AI agents page.

If you wish, yes. With the AI Cube, the language models run on a server in your company.

A pilot for one process often takes four to six weeks if data, interfaces and a contact person are available. Before that comes the AI Potential Check.

The initial consultation is free. We tell you the price of the AI Potential Check there; it depends on the number of processes. For implementation, companies with fewer than 50 employees may be eligible for the Digitalbonus Bayern. More on the AI Potential Check page.
